# Kitiquette — setup guide

For the HubSpot admin setting up Kitiquette. Setup takes about 30 minutes, plus the time to tidy your price list.

**Before you start**

- HubSpot Sales Hub Starter, Professional or Enterprise.
- A **super admin** for steps 1, 2 and 5 (installing, creating the properties, naming families, groups and tags). Steps 3, 4 and 7 need permission to customize record views and forms; step 6 needs permission to edit products.
- Your price list: the products you sell as kits or packages, and the options that go in them.

## How it fits together

A **kit** is a product reps configure: a package, a system, a plan with add-ons. An **option** is an ordinary product that can be chosen inside a kit. Three pick-lists tie them together:

- **Family**: which kits an option belongs to. A kit and its options share a family; an option used by several kits gets several families.
- **Group**: one choice the rep makes, like *Size*, *Service plan* or *Extras*. A group can be required, and can allow several picks.
- **Tag**: a trait that rules refer to, like *Wall mount* or *Premium*.

A made-up example, an office printer package:

| Product | Kit or option | Family | Group | Tags | Rule |
| --- | --- | --- | --- | --- | --- |
| Office Printer Package | Kit (required: Printer, Service plan) | Printer Package | | | |
| Compact Printer | Option | Printer Package | Printer | | |
| Workgroup Printer | Option | Printer Package | Printer | Tray-ready | |
| Extra Paper Tray | Option, ask for quantity | Printer Package | Extras | | Needs one of: Tray-ready |
| Basic Service | Option | Printer Package | Service plan | | |
| Priority Service | Option | Printer Package | Service plan | | |

The rep picks the Office Printer Package on a deal, must choose a printer and a service plan, and can only add extra trays to the Workgroup Printer. The finished build becomes HubSpot line items, priced from your products.

## 1. Install the app

Open the install link from your trial email ([start a trial](https://www.kitiquette.com/trial?hsLang=en) if you don't have one yet), choose your HubSpot account and approve the permissions. Until HubSpot has reviewed the app you will be asked to type "I accept the risk"; that is expected for new apps.

## 2. Create the product properties

HubSpot → **Settings → Integrations → Connected apps → Kitiquette → Settings** → **Set up properties**. This adds the CPQ fields to every product.

> It's safe to run again, and you should: run it after every Kitiquette update.

[![Product library after Set up properties, with the new CPQ columns highlighted.](https://www.kitiquette.com/hs-fs/hubfs/raw_assets/public/kitiquette-theme/images/guide-catalog.0be08934.png?width=1520&height=588&name=guide-catalog.0be08934.png)](https://www.kitiquette.com/hubfs/raw_assets/public/kitiquette-theme/images/guide-catalog.0be08934.png?hsLang=en)

Your product library gains the CPQ fields: Group, Family, Tags, Configurable product and more.

## 3. Put the card on your deals

Open any deal. If you see a **Product Configurator** card, skip this step. Otherwise (the usual case on Sales Hub Starter): **Customize** (top of the middle column) → open the view → **+** → **Card library** → search "Product Configurator" → **Add card** → **Save and exit**.

> Also add HubSpot's **Line items** card to the deal view if it isn't there, so reps see what the configurator created.

## 4. Put the CPQ fields on the Create product form

Products → **Create a product** → **Edit this form** → tick **CPQ: Configurable product, CPQ: Family, CPQ: Group, CPQ: Max discount** (and CPQ: Ask for quantity if you sell by the unit) → **Save**. New products can then be made kits or options as they are created.

## 5. Name your families, groups and tags

On the app's **Settings** page, under **Option lists**: choose the list, type the names separated by commas, then click **Add**. For the example above: family *Printer Package*; groups *Printer, Service plan, Extras*; tag *Tray-ready*.

- Give each kit its own family. An option shared by several kits (a warranty, a support plan) gets several families.
- Groups appear to reps in the order of the list unless a kit sets its own **CPQ: Group order**.
- Tags exist only for rules; most catalogs need few.

Type the names

Added

[![Settings page, Option lists: the Group list is chosen and three names, Panels, Inverter and Battery Storage, are typed in the new options box, ready to add.](https://www.kitiquette.com/hs-fs/hubfs/raw_assets/public/kitiquette-theme/images/guide-option-lists-typed.cda500e9.png?width=1522&height=358&name=guide-option-lists-typed.cda500e9.png)](https://www.kitiquette.com/hubfs/raw_assets/public/kitiquette-theme/images/guide-option-lists-typed.cda500e9.png?hsLang=en)

Choose the list, type one or more names separated by commas, click Add.

[![Settings page, Option lists after adding: one new family, three new groups and two new tags are highlighted at the end of each list.](https://www.kitiquette.com/hs-fs/hubfs/raw_assets/public/kitiquette-theme/images/guide-option-lists.b989c157.png?width=1522&height=358&name=guide-option-lists.b989c157.png)](https://www.kitiquette.com/hubfs/raw_assets/public/kitiquette-theme/images/guide-option-lists.b989c157.png?hsLang=en)

New names appear at the end of each list, and are copied to every property that uses it.

> **Rename labels, never values.** To rename or reorder, edit **CPQ: Family**, **CPQ: Group** or **CPQ: Tags** in Settings → Properties, then click **Set up properties** again. Change only an option's label: its internal value is what your products store.

## 6. Set up your products

**A kit:** *CPQ: Configurable product* = Yes and a *Family*. Optionally: *Required groups* (the rep must pick), *Multi-choice groups* (the rep may pick several), *Group order*, *Max discount* (the most a rep may take off, 5% to 50%) and *Max discount with approval* (see below). Its price is the base price; zero is fine.

**An option:** a *Family* (one or more), a *Group* and a price. Tick *Ask for quantity* if the rep should enter how many; the price is per unit. A "None" or "Keep existing" choice still needs a $0 product, so it can be picked.

**Rules** go on options, and point at tags:

| Field | Meaning | Example |
| --- | --- | --- |
| Tags | What this option is | Workgroup Printer: *Tray-ready* |
| Can't combine with | Tags this option can't sit next to | Wall Bracket: can't combine with *Floor-standing* |
| Needs one of | At least one chosen option must have one of these tags | Extra Paper Tray: needs one of *Tray-ready* |
| Needs all of | Every one of these tags must be present | Network Kit: needs all of *Wi-Fi*, *Premium* |

An option that conflicts with a choice already made is grayed out with the reason ("Not with Standard Hub"). An option that *needs* something you haven't picked yet stays selectable, and the panel's footer names what it needs. A build can't be added until every rule is met and every required group is filled.

**Volume pricing** goes on any option or kit: *CPQ: Volume pricing*, written like `10+ 5%; 50+ 10%`. It takes a % off by the quantity on the line, so 6 builds with 10 seats each puts 60 seats on the line and gets 10% off. It stacks with the rep's discount (10% then 5% is 14.5%) and is applied by the app's server when the build is added. Text it can't read is ignored, and the setup card and Check catalog say so.

**Discount approvals** go on a kit: set *Max discount with approval* above *Max discount* (say 10% and 20%). A rep can then enter up to 20% in the cart; anything over 10% shows **Needs approval** and a **Request approval** button. Choose who approves on the app's settings page, under **Discount approvers** (super admins can always approve; with nobody chosen, super admins get the emails). Approvers are emailed for each request, open the deal and click **Approve** or **Decline**; the rep is emailed the decision. The approval is for that exact build: change its options, quantity or discount upward and it needs approving again. **Add to deal** waits until every discount over the max is approved. Nobody can approve their own request while another super admin exists; in a company with a single super admin, the owner can, and the cart shows it as **Self-approved**.

Approvals are a guardrail, not an audit control: someone who can edit deal properties or line items in HubSpot directly can still change discounts there. Use HubSpot's field permissions if you need a hard lock.

> Find every deal waiting for you: filter deals by **CPQ: Approval status** = *Pending approval*.

**Builds on this deal.** Under the cart, the card lists the builds already added to the deal. **Edit** brings one back into the cart; change it and **Add to deal** replaces the old line items. **Remove** takes the build's line items off the deal and updates the amount.

**Big kits.** A kit with more than 40 options gets a search box, and its groups fold so reps can open the one they need.

**Many products at once:** export your price list, add columns named like the fields, and use HubSpot's **Import → Products**. Several values in one cell are separated by semicolons; yes/no columns take `true`/`false`:

[Download the import template (CSV)](data:text/csv;charset=utf-8,Name%2CUnit%20price%2CCPQ%3A%20Configurable%20product%2CCPQ%3A%20Family%2CCPQ%3A%20Group%2CCPQ%3A%20Ask%20for%20quantity%2CCPQ%3A%20Volume%20pricing%2CCPQ%3A%20Tags%2CCPQ%3A%20Can't%20combine%20with%2CCPQ%3A%20Needs%20one%20of%2CCPQ%3A%20Needs%20all%20of%2CCPQ%3A%20Required%20groups%2CCPQ%3A%20Multi-choice%20groups%2CCPQ%3A%20Group%20order%2CCPQ%3A%20Max%20discount%2CCPQ%3A%20Max%20discount%20with%20approval%0D%0AOffice%20Printer%20Package%2C0%2Ctrue%2CPrinter%20Package%2C%2Cfalse%2C%2C%2C%2C%2C%2C%22Printer%3BService%20plan%22%2CExtras%2C%22Printer%2C%20Service%20plan%2C%20Extras%22%2C10%2C20%0D%0ACompact%20Printer%2C499%2Cfalse%2CPrinter%20Package%2CPrinter%2Cfalse%2C%2C%2C%2C%2C%2C%2C%2C%2C%2C%0D%0AWorkgroup%20Printer%2C899%2Cfalse%2CPrinter%20Package%2CPrinter%2Cfalse%2C%2CTray-ready%2C%2C%2C%2C%2C%2C%2C%2C%0D%0AExtra%20Paper%20Tray%2C129%2Cfalse%2CPrinter%20Package%2CExtras%2Ctrue%2C5%2B%2010%25%2C%2C%2CTray-ready%2C%2C%2C%2C%2C%2C%0D%0ABasic%20Service%2C199%2Cfalse%2CPrinter%20Package%2CService%20plan%2Cfalse%2C%2C%2C%2C%2C%2C%2C%2C%2C%2C%0D%0APriority%20Service%2C399%2Cfalse%2CPrinter%20Package%2CService%20plan%2Cfalse%2C%2C%2C%2C%2C%2C%2C%2C%2C%2C%0D%0A)

The template holds every CPQ column and the printer example above, ready to replace with your own rows:

| Name | Unit price | CPQ: Configurable product | CPQ: Family | CPQ: Group | CPQ: Tags | CPQ: Needs one of |
| --- | --- | --- | --- | --- | --- | --- |
| Office Printer Package | 0 | true | Printer Package | | | |
| Workgroup Printer | 899 | false | Printer Package | Printer | Tray-ready | |
| Extra Paper Tray | 129 | false | Printer Package | Extras | | Tray-ready |

> Create the families, groups and tags (step 5) **before** importing, or HubSpot rejects the rows that use them. After the import, click **Check catalog** on the app's settings page: it lists every problem across the whole catalog at once.

## 7. Show the setup card on products (recommended)

Open any product → **Actions → Customize team preview → Default view → Add card → Card library → CPQ setup** → drag it **below** the "CPQ" card → **Save**. It shows what each product is to the configurator and flags mistakes as you edit.

In the product library

Close up

What this kit is to the configurator, and every group a rep will see.

## 8. Check it on a deal

First click **Check catalog** on the app's settings page: it lists every setup problem across all your products, such as a missing family or group, a rule pointing at a tag no option has, unreadable volume pricing or an option no kit can reach.

Then open a deal, click **Configure product** in the Product Configurator card and pick a kit. A yellow **Product setup warnings** box names any problem with that kit. Fix the product, then click **Refresh products**.

Then build something: choose options, **Add to cart**, set a discount if the kit allows one, **Add to deal**. The line items and the deal amount appear on the deal.

Configure

Cart

[![The Configure product panel: an option that breaks a rule is grayed out with the reason, and the total shows which required group is still empty.](https://www.kitiquette.com/hs-fs/hubfs/raw_assets/public/kitiquette-theme/images/guide-deal-configure.9124a892.png?width=1233&height=852&name=guide-deal-configure.9124a892.png)](https://www.kitiquette.com/hubfs/raw_assets/public/kitiquette-theme/images/guide-deal-configure.9124a892.png?hsLang=en)

Rules apply as you click: options that don't fit say why, and the total shows what's still needed.

[![The cart on the deal: two builds with quantities, one with a discount within its limit, and the Add to deal button.](https://www.kitiquette.com/hs-fs/hubfs/raw_assets/public/kitiquette-theme/images/guide-deal-cart.e35f523d.png?width=875&height=796&name=guide-deal-cart.e35f523d.png)](https://www.kitiquette.com/hubfs/raw_assets/public/kitiquette-theme/images/guide-deal-cart.e35f523d.png?hsLang=en)

Several builds per deal, each with its own quantity and a discount up to the kit's limit.

---

## Quotes (if you have HubSpot Quotes)

Add your builds to the deal first, then create the quote from the deal as usual (deal → Quotes → Create quote, or Quotes → Create quote → choose the deal). HubSpot copies the deal's line items into the quote, discounts included, and the deal amount is not changed.

> A build added to the deal **after** the quote exists is not added to that quote: add it there with "Add line item", or create a new quote.

Creating quotes needs whatever HubSpot requires for quotes in your account (currently a Revenue Hub seat).

## Who can do what

- **Super admins** run Set up properties and add families, groups and tags.
- **Reps** can add to a deal they own, or one owned by someone on their team. Deals with no owner are open to everyone.
- **Super admins** approve or decline discounts over a kit's Max discount.
- In the configurator a discount can't exceed the kit's **Max discount** without an approval, or its **Max discount with approval** at all; the app checks both again when adding. Reps can still edit discounts on line items in HubSpot itself; restrict that with HubSpot's field permissions if you need a hard limit.

## Troubleshooting

| You see | Do this |
| --- | --- |
| "CPQ properties are not set up yet" | Step 2 |
| A kit has no options | The kit and its options need a shared Family (step 6) |
| An option is missing | It needs a Group and a Family; the warnings box names it |
| An option is grayed out | The note under it ("Not with …") says which choice blocks it; that is a rule working |
| "Could not load products" with a license message | Your subscription has lapsed; contact support |
| A change to a product doesn't show | Click **Refresh products** (the list is cached for 30 seconds) |
| Discount box missing in the cart | The kit has no **Max discount** set |
| "Needs approval" won't go away | The build changed after it was approved (options, quantity or a higher discount): request again |
| A super admin sees no Approve button | The request isn't pending yet: the rep must click **Request approval** first |
| Volume pricing isn't applied | Check the text on the product's setup card; it must read like `10+ 5%` |

## Limits

- One level only: no options inside options.
- Prices add up, with volume pricing per line; a price can't depend on the combination of options.
- About 1,000 options per family, and a few hundred kits (reps pick from one list).
- 15 to 20 options per group is the comfortable maximum for reps.

## Uninstall

In the app's settings page (Connected apps → Kitiquette → Settings), **Uninstall app** → **Yes, uninstall** (super admins only), or Settings → Integrations → Connected apps → Kitiquette → **Uninstall**. Access stops immediately and HubSpot emails your super admins. The CPQ properties stay on your products; archive them in Settings → Properties if you no longer want them.
